Please reach out directly to your Account Manager with any questions regarding load-in. Exhibitors will select their planned load-in time within the EventHub registration application. Note that all exhibitors must check in with expo staff at the Exhibitor Check-in tent upon arrival.
OPTION 1. VEHICLE UNLOAD IN UNLOADING ZONE
Exhibitors will unload their vehicles in a dedicated unloading zone and hand-carry or cart their materials to their designated booth space. Expo management recommends this load-in method for the majority of exhibitors, especially those that are able to easily transport materials by hand or via handcarts.
A limited number of handcarts will be available for exhibitor use, and Expo Management will help in loading material to golf carts and transporting equipment to your assigned booth. Note: Exhibitors will need to temporarily exchange their Drivers License/ID for use of any available handcarts. Available handcarts will be located at the Exhibitor Check-in tent.
OPTION 2. VEHICLE ON DISPLAY IN BOOTH
Exhibitors must note that they will have a vehicle on display as part of their activation and must be approved to have a vehicle in their booth before being confirmed for this load-in method.
VEHICLES ON DISPLAY WILL ONLY BE ALLOWED IN THE A&B AREAS OF THE LAYOUT. *****
The vehicle must fit within the confines of the contracted booth space. Spaces will be marked clearly on the ground. During load-in, exhibitors will first obtain a “Vehicle in Booth” pass from the Exhibitor Check-in tent. These will only be produced for those companies that designate a vehicle in EventHub.
Please note regarding vehicle displays onsite:
- Any vehicle that is to be parked within an exhibitor booth must be in place by 6PM on Wednesday.
- Vehicles on display may be moved after the expo closes on Friday or when instructed it is safe to do so by Life Time staff.
- Booths with vehicles on display, that have not been requested through Eventhub will be asked to move vehicle immediately from the premises.
OPTION 3. SHIPPING
If an exhibitor intends to advance ship their materials to Life Time (see notes below), and will not require any other method of load-in, please choose this option. These exhibitors will arrive during set-up with no additional materials to unload. All advance shipments will be delivered as close as possible to booth spaces in accordance with the load-in day/time confirmed by Life Time via email. Space is limited. Requests must be confirmed by Life Time prior to shipment. All shipment requests may not be accommodated.
If an exhibitor will need to unload a vehicle or park a vehicle in their booth, in addition to the advance shipment, please choose the appropriate secondary option when answering the “Load-In Method” question during the EventHub application process.
Advance Shipping Details:
- All shipment requests may not be accommodated.
- Advance shipments must be requested during the EventHub registration, as space is extremely limited. Please wait for confirmation and instructions before shipping any materials.
- Receiving cost of $250 per pallet or equivalent must be pre-paid via EventHub. Should additional materials arrive, Life Time reserves the right to bill for these items post event.
- Life Time will provide labeling and shipping instructions with confirmation of advance shipment.
- Shipments must be received between Monday, September 22nd and Wednesday, October 8th, 9:00 a.m. – 4:00 p.m. CST only. Shipments delivered outside of this window may not be accepted.
- Exhibitors are responsible for all shipping costs.
Post-Event Shipping Details:
- Post-event shipping must be requested and pre-paid via the EventHub application, as space is extremely limited. Please wait for confirmation and instructions before coordinating the pick-up of any materials.
- If materials were advance shipped to the expo, there is no additional cost for post-event shipping.
- If materials were not advance shipped to the expo, there is a $250 per pallet or equivalent cost for post-event shipments.
- It is the responsibility of the exhibitor to package materials, affix proper labels, and schedule a pick-up for materials.
- Shipments must be picked-up on Monday, October 20th from, 9:00 a.m. – 4:00 p.m. CST only. Pick-up requests outside of this window may not be accommodated.
- Exhibitors are responsible for all shipping costs.
- All shipments may not be accommodated.
Exhibitor parking can be found:
OPTION 1: East Gravel Lot off of E St., just south of the main building. This area will be saved for sponsors and exhibitors who need storage during the event. Please indicate within your EventHub registration if you will need parking nearest the Expo so that we can prepare accordingly.
Exhibitors will only be allowed in this lot if they obtain approval from their National Account Manager and receive a parking pass during load-in.
OPTION 2: Additional parking will be available in the dedicated parking garage, accessible via 8th St.
Expo exhibitors will have the opportunity to submit their booth preferences within their EventHub registration; however, expo management will ultimately assign booths to exhibitors and sponsors based on contract requirements, operational needs, and the products being displayed.
All exhibitors will receive confirmation of booth assignment prior to the event. Exhibitors are not to activate outside of their assigned booth space.
Exhibitor’s materials must fit within the assigned booth space and may not obstruct walkways, exits, general view, and other exhibitors. Exhibitors are not to activate outside of their assigned booth space, including mobile sampling and/or sales throughout the venue.
List of policies and restrictions:
- No handouts or flyers may be passed out or posted outside of the assigned booth space. This will be strictly enforced.
- Any special booth construction must be submitted for prior approval.
- No staking is permitted on the grass/lawn area of this venue
- Fork lifts, vehicles and pallet jacks are not permitted on the green spaces/lawn of this venue.
- Expo management strictly prohibits subletting of booth space. This means that the only company permitted to activate within a specific booth space is the one that signed a contract with Life Time. Exhibitors may not share their booth space or use their space for any other reason without prior written approval from Life Time.
- Exhibitors must remain open at all times during expo hours.
- Exhibitors are in charge of providing their own tents, tent weights and any other items needed for a successful activation.
Products with the event logo, name, etc. may not be sold, displayed or distributed without prior written approval from Life Time. Management reserves the right to restrict and remove any product it deems objectionable (includes products, persons, objects, conduct, etc.) for health, safety or other reasons. This may include products in conflict with sponsors.
NO CANNABIS, CANNABINOID (CBD), OR RELATED ITEMS MAY BE PRESENT AT THE EXPO WITHOUT PRIOR APPROVAL FROM LIFE TIME. Expo management and Life Time staff reserve the right to restrict and remove anything that has not been pre-approved.
Exhibitors may be permitted to sample and sell food or beverage products, subject to Health Department review. Exhibitors must report their intent to sample/sell within EventHub and comply with food safety handling methods. Upon review of all requests with the Health Department, Life Time will contact any exhibitors that may require a permit or have sampling requests that may not be accommodated.
For exhibitors planning to sample:
- Samples need to be commercially packaged (no homemade items).
- Samples need to be individual servings and covered or wrapped (small dishes, packaged).
- Samples need to be shelf stable (nothing that needs refrigeration or to be kept heated).
- Must use serving utensils (no hands).
- Server must be gloved.
For exhibitors planning to sell:
- There is required paperwork explaining Arkansas State Sales Tax that will be shared onsite in Bentonville.
Sampling or selling alcohol is not permitted at the expo.
POWER: Power is accessible within the Expo in certain booth locations. Please consider the “power available” booth options on the layout when submitting your preferences. Exhibitors may purchase access to power as an Add-On when completing the EventHub registration. Exhibitors must bring their own 100ft. extension cords and any necessary items to power their booth needs.
ICE: Exhibitors may purchase ice as an Add-On when completing the EventHub registration.
TABLES & CHAIRS: Exhibitors may rent 6’ tables and fold chairs as Add-Ons when completing the EventHub registration. All table and chair requests must be submitted by September 15 to guarantee availability.
Exhibitors are in charge of providing their own tents, tent weights and any other items needed for a successful activation.
Security will be provided overnight on Wednesday and Thursday, but exhibitors are responsible for their own materials, as Life Time, Inc. is not responsible for any lost, damaged or stolen property. Please ensure your booth is staffed at all times during open expo hours and valuables are not left overnight.
Credentials
Credentials will be issued to exhibitors at Exhibitor Check-in based on the information provided in EventHub. Exhibitors must wear credentials at all times.
Please refer to https://www.lifetime.life/media.html for Life Time’s Insurance requirements. Exhibitors must adhere to these requirements and provide documentation if requested by Life Time.
All exhibitors must wait until the close of the expo at 7:00 PM on Friday to begin load-out. Vehicles will not be permitted to move within the expo until after 7:00 PM (or when Life Time staff indicates it is safe to do so). Exhibitors have until 10:00 PM on Friday to complete their load-out from the expo.
